MVP Team Photography (“we,” “us,” or “our”) is committed to protecting the privacy of the individuals we work with, including youth athletes, parents, and guardians. This Privacy Policy explains what personal information we collect, why we collect it, how it is used and stored, and your rights regarding that information.

By using our website, signing in to your account, or booking our services, you agree to the practices described in this policy. This policy is governed by the “Personal Information Protection Act” (PIPA) of Alberta and Canada’s “Federal Personal Information Protection and Electronic Documents Act” (PIPEDA).

1. Information We Collect
We collect personal information in the following categories:
Account and sign-in information: When you sign in using Google, we receive your name, email address, and profile picture from Google. We do not receive your Google password or access to any other Google data.
Participant information: For the purpose of fulfilling photography orders, we collect and hold the names, jersey numbers, team names, and photographic images of youth participants (ages 5–18). This information is provided to us by the parent, guardian, or sports association at the time of booking.
Order and booking information: We retain records of what was ordered, booking details, payment status, and delivery information. This includes the name and contact information of the parent or guardian who placed the order.
Historical records: We retain participant and order information from previous years. This includes player names, team affiliations, and order history, and is used to assist with year-over-year order fulfillment, coach matching, and account continuity.
2. How We Use Your Information
We use personal information only for the following purposes:

To verify your identity and connect you to your orders, bookings, and account history through our system.

To fulfill photography orders, including producing and delivering prints and digital products tied to the correct participant.

To contact you if we have questions about your order or booking.

To send you marketing emails about our own services and promotions, where you have explicitly opted in to receive them. You may unsubscribe at any time.

To maintain historical records for order accuracy, year-over-year booking continuity, and coach matching across seasons.
We do not use your information for automated decision-making, third-party advertising, or profiling.
3. Youth Participants and Parental Consent

Because our services involve photographing children between the ages of 4 and 18, we take the handling of youth participant information seriously.

We collect and hold the names, images, and team information of youth participants only with the permission of a parent or guardian, or under the authority of the sports association that has arranged the booking and obtained the necessary consents from its members.

By booking our services, the Client (whether an individual parent or a sports association) confirms that appropriate consent has been obtained from all participants or their parents and guardians. If any participant does not wish to be photographed, it is the responsibility of the Client or association to notify us before the session.

Participant information such as names, jersey numbers, and team affiliations is used solely to fulfill photography orders accurately and is not shared outside the association or used for any other purpose.

4. How Information Is Shared
​
We do not sell, rent, or trade personal information. Information is shared only in the following limited circumstances:
Within your association.: If you view your team on our booking page, contact email addresses for team administrators within your association may be visible to other members of that same association. No personal information is displayed to anyone outside your association.

Google (sign-in provider): Google facilitates your login as a third-party service. Their handling of your information during the sign-in process is governed by Google’s Privacy Policy, available at https://policies.google.com/privacy.

Service providers: We may share limited information with trusted third-party providers who assist with order fulfillment, printing, or delivery. These providers are bound by confidentiality and may only use your information to complete the services we have engaged them for.

Legal requirements: We may disclose information if required to do so by law, court order, or government authority.

5. Marketing Communications
​
We may send you emails about our services, seasonal promotions, or upcoming booking periods.

You may withdraw your consent and unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email we send, or by contacting us directly. Unsubscribing from marketing emails does not affect transactional communications related to your orders or bookings.

6. Data Retention

We retain personal information for as long as it is needed to fulfill the purposes described in this policy. Specifically:

Account and sign-in information is retained for as long as your account remains active.

Order and booking records, including participant names, images, and payment history, are retained from year to year to support ongoing order fulfillment and account continuity.

Historical records from previous seasons are retained to assist with coach matching, reprint requests, and booking accuracy across years.
If you request deletion of your personal information, we will remove it from our active systems within a reasonable timeframe. Please note that some records may be retained where required by law or for legitimate business purposes such as accounting records.

Under Alberta’s PIPA and Canada’s PIPEDA, you have the right to:

Request access to the personal information we hold about you or your child.
