MVP Team Photography Sports Photography

These Terms and Conditions (“Terms”) govern the relationship between MVP Team Photography (“the Photographer,” “we,” “us,” or “our”) and the client (“you,” “your,” “the Client”) regarding the provision of sports and youth photography services. By booking or purchasing our services, you agree to these Terms.

 

1. Services

• We provide professional photography services for youth sports teams, leagues, associations, and individuals.
   

• Services may include, but are not limited to: team and individual portraits, action photography, event coverage, and digital or print delivery.
   

• Any additional services will be agreed upon in writing prior to the event.
   

 

2. Booking & Payment

• Bookings are confirmed only upon receiving our "Information booking" email
   

• Some services may require a deposit. Final payment terms will be outlined in the booking confirmation.
   

• Any agreed-upon product (e.g., team photos, memory mates, specialty items) will be billed based on the number of participants photographed.
   

• Payments may be made via e-transfer, Mastercard, Visa, American Express, debit, or cheques.
   

• Invoices (if issued) are due in full within 30 days of delivery or pickup.
   

• Late payments may be subject to a late fee of up to 15% of the outstanding balance.

 

3. Refunds & Returns

• Due to the custom nature of photography, all sales are final.
   

• Refunds or reprints are only offered for defective products (e.g., damaged prints) and must be reported within 14 days of delivery.

 

• Requests outside of product defects may be addressed at our discretion. Additional charges may apply depending on the nature of the issue.
   

 

4. Cancellations & Rescheduling

• If you cancel a booking less than five (5) days before the scheduled date, the deposit is non-refundable.
   

• Events cancelled due to weather or unforeseen circumstances may be rescheduled without penalty, subject to availability.
   

• We reserve the right to reschedule or cancel due to illness, emergencies, or conditions beyond our control. In such cases, a full refund of any deposits will be provided.
   

• Depending on the type of booking, players or dancers who are unable to attend the scheduled photo day may book a retake session at our studio within 7 days of the original date. A retake session is subject to an additional fee.
   

 

5. Image Rights & Usage

• All photographs remain the copyright of MVP Team Photography.
   

• Clients receive a personal-use license for purchased photos, which allows printing and sharing with family and friends.
   

• Photos may not be sold, edited, or used for commercial purposes without prior written consent.
   

• Unless otherwise agreed in writing, we reserve the right to use images for our portfolio, marketing materials, website, social media, and sample products.
   

 

6. Delivery of Images

• Digital and print products are typically delivered within 3–5 weeks of the event.
   

• Some print products may require additional processing and delivery time.
   

• While we make every effort to capture key moments, specific shots cannot be guaranteed.
   

• Any missing products must be reported to us within 14 days of delivery for a reprint. Outside of this time period you may be subject to a fee.
   

 

7. Liability

• We take great care with equipment, backup procedures, and delivery of images, but cannot be held liable for circumstances beyond our control (e.g., equipment failure, venue restrictions, weather, or accidents).
   

• Our liability for any claim is limited to the amount paid for the contracted services.
   

 

8. Conduct & Safety

• We expect cooperation from players, coaches, parents, and staff during photo sessions.
   

• For safety reasons, we may refuse to photograph in unsafe or restricted areas.
   

• Parents/guardians are responsible for supervising minors during photo sessions.
   

 

9. Privacy & Consent

• By booking our services, you confirm that you have obtained any necessary permissions from participants, parents, or guardians for photography.
   

• If any individual does not wish to be photographed, it is the responsibility of the Client or organization to inform us prior to the session.
   

• We may request limited participant information (such as name, jersey number, and team name) to assist with order fulfillment and ensure accurate delivery.
   

• This information is used solely for photography services and will never be sold or shared with third parties.
   

 

10. Governing Law

• These Terms are governed by the laws of the Province of Alberta.
   

• Any disputes will be resolved in the courts of Edmonton, Alberta.
   

 

11. Agreement

By booking services with MVP Team Photography, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
